Out-of-Cycle Resource Request Process

The vast majority of resource requests are made through the annual program review process. However, there are cases in which resources are needed outside of the usual program review timeline. These include position replacements, as well as time-sensitive needs related to grants and external initiatives (e.g. state, accreditation, etc.). The out-of-cycle resource request process ensures that requests of this nature are reviewed in a consistent and transparent manner.

This process is limited to the following types of resource requests. Each request that is submitted must provide detail on why it was not included in the annual program review process.

Full-Time Faculty Replacements
Full-Time Faculty Growth Positions
Permanent Staff Replacements
Permanent Staff Growth Positions
Administrator Replacements
Administrator Growth Positions
Equipment, Facilities, and/or Technology Requests

Supervisor or Manager completes Out-of-Cycle Resource Request Form.
Request goes to relevant VP for review.
1. The Academic Senate President is notified of all faculty requests.
2. The Classified Senate President is notified of all staff requests.
3. The Budget Resource Committee tri-chairs are notified of equipment, facilities, and technology requests.
The VP either advances the request to the College President and Executive Team, or requests additional information from the requestor.
If the request is advanced, the College President and/or Executive Team bring the request to the relevant committee for feedback and input. The committee provides a recommendation to the President and Executive Team about the request. In particular, the committee indicates whether they believe the request should receive out-of-cycle funding, or if it should be included in the next annual program review.
1. Administrator requests are brought to the Academic Senate and Classified Senate.
2. Faculty requests are brought to the Academic Senate.
3. Classified staff requests are brought to the Classified Senate.
4. Equipment requests are brought to the Budget Resource Committee
5. Technology Requests are brought to the Technology Advisory Group.
6. Facilities requests are brought to the Facilities Operations Group.
Using the committee's feedback, the College President decides whether to fund the request, and communicates his/her decision to the requestor, VP, and the committee within 30 days of the committee meeting.
