House Manager Procedures
Two Weeks Prior to Show
- Take inventory of all concessions.
- Count cups (hot and cold)
- Count stir sticks
- Count tea (herb and black Lipton)
- Count sugar, sweet and low, and coffee creamer
- Count napkins
- Count coffee
- Count hot cocoa, etc.
- Figure out menu (what will be served?).
- Coffee
- Tea (herb and black)
- Soda
- Pepsi
- Diet Pepsi
- 7-Up
- Diet 7-Up
- Estimate amount to be used for ten (10) performances.
- Coffee, tea, and soda.
- Condiments.
- Paper products and utensils.
- Present list and estimated amounts to the producer for fund money to purchase the products needed.
- Shopping.
- You can find most of what's needed from Price Club or Smart & Final (bulk rates = more for your dollar).
- Watch for sales, but keep in mind the show is on a budget, therefore, so are you!!!
- Purchase only what was approved!!!
- SAVE RECEIPT AND CHANGE!!!
- They must be turned in to the Producer.
- Every dollar spent must be accounted for.
- Deliver products to the theatre.
- Go over the merchandise and the receipt with the Producer or another manager to ensure and
double-check completion. - Stock products in necessary or specified areas (i.e., closet, refrigerator, etc.).

Concessions
- Prepare and set up for last dress rehearsal. Run as if it wre the real thing. Dress rehearsal is a rehearsal for you, too. It gives you a chance to get a feel for what you will be doing and what to expect.
- Arrive 1 1/2 hours before showtime!
- Display.
- Check for sign that lists item and price.
- Set up table in workable order.
- Workable to you and your patrons.
- Make it appealing.
- Count your bank. (The "bank" refers to the money allotted to you to make change for concessions.)
- List out your money in bill and cent categories with the amounts. Then total it.

- Example:
- This tells you what you started with and will aid in telling you what you ended with.
- It also gives you an exact count, which can aid in correcting mistakes later, if one is made.

The House
- Phone ushers one night before performance.
- Tell them to wear appropriate dress.
- Tell them what time to arrive (usually one hour before showtime).

- Black dress or skirt (female); black pants (male).
- White or appropriate blouse or dress shirt.
- Dress shoes.
- Wear appropriate styles and colors.
- Check the theater.
- Check for trash.
- Check for temperature (not too cold and not too hot).
- Make sure seats and doors are in working condition.
- Be aware of possible hazards or accidents and fix them or have them fixed.
- Check for plenty of programs.
- Check the lighting and access ways for your patrons.
- Schedule time.
- Be prompt in your duties.
- Your checklist must be put to a time schedule.
- Ushers.
- Your ushers must be on time.
- Send them home or tell them to buy a ticket if they are inappropriately dressed or late.
- Brief your ushers.
- Programs.
- Seating.
- Tearing tickets.
- Restrooms.
- Late seating.
- Intermission.
- Emergencies.
- Pre-show and post-show responsibilities.
- Duties.
- Give call.
- Call on the intercom when house is closed and show can commence.
- During the show.
- You are to remain in the lobby where you are readily available to assist, answer questions, or whatever
is needed for your patron's comfort, etc. - You must also be available if problems arise, such as late patrons who want to be seated, etc.

- Salutations to your patrons.
- Salutations to your ushers.
- If there is a discussion (post-show), you must be available for that as well.
- Make sure house is in order and closed.
Ticket Sales
- Arrange ticket booth in working order.
- Get tickets.
- Get bank.
- Count bank (same as concessions).
- Organize money in working order.
- Know prices of tickets.
- Always keep a pen and paper close to make notes (mailing list).

- Will Call tickets (charged, paid, or unpaid).
- Tickets are also sold at Community Services.
- Student rates, Senior Citizen rates, Staff rates, Group rates, and General Admission.
- Rates for Thursday and Sunday Matinee versus Friday and Saturday.
- Show times, approximate time for intermission, and approximate time show lets out.
- Late seating.
- Knowledge of the intercom.
- General Admission and Assigned Seating.
- How to treat the audience.
- Keep apart of the tickets.
- The count shows you how many tickets you've sold.
- Know how many you can sell (How many does your house seat?).
- Always count back change!!!
- Display money the patron gives you until they have accepted their change.
- Post-ticket sales.
- Count your cash drawer the same as concession sales and figure the profit made.
- Organize the money and lock it up with the ticket stubs.
